Our Approach

Technology that elevates every engagement

The arboricultural industry has traditionally relied on paper-based processes and subjective reporting. The Tree Guardian has moved well beyond that — integrating digital platforms, GPS-enabled field tools, and cloud-based reporting systems that deliver consistent, auditable outcomes for our government, commercial and Tier 1 construction clients.

Our technology stack doesn't replace expert judgement — it amplifies it. Every site visit, every assessment and every recommendation is captured, documented and delivered to a standard that withstands scrutiny from councils, certifiers and project managers alike.

Core Capabilities

The tools behind the work

Every tool we use is selected for reliability, traceability and the ability to produce documentation that holds up in professional and regulatory contexts.

SafetyCulture iAuditor

SafetyCulture iAuditor is the backbone of our on-site safety and compliance management. Every job begins with a structured digital inspection — site-specific safety checklists, pre-task analysis and SWMS verification are completed before any works commence. Findings, photos and sign-offs are captured in real time, generating audit-ready PDF reports from the field the moment a job is complete. This eliminates the gap between what happened on site and what ends up on paper.

Key uses
  • Site safety checklists before every job
  • Pre-task analysis and SWMS compliance verification
  • Photographic evidence captured at inspection time
  • Instant PDF report generation from the field
  • Timestamped audit trail for every site visit

GPS Tree Mapping

For clients managing large tree populations across a site or precinct, GPS-enabled mapping transforms a static tree assessment into a living, spatial asset register. Every tree we survey is assigned precise coordinates alongside its species, condition rating, canopy spread, structural risk classification and recommended management actions. This data integrates directly into council asset management systems and provides a reliable baseline for ongoing inspection cycles, DA submissions and urban forest planning.

Key uses
  • GPS coordinates for every assessed or planted tree
  • Species, condition and structural risk classification
  • Canopy spread and height data capture
  • Council asset management system compatibility
  • Scalable from single sites to precinct-wide surveys

Digital Arborist Reports

Every arborist report we produce is prepared digitally — structured to meet the requirements of NSW councils, private certifiers and development approval pathways. Reports include embedded photographic evidence, annotated site plans, AS 4970 compliance notation and clearly referenced findings and recommendations. Because our arborists capture data on-site digitally, reports are turned around rapidly without any transcription lag — critical on development projects where certifier submissions are time-sensitive.

Key uses
  • AS 4970 compliant report structure and notation
  • Embedded photographic evidence from the field
  • Annotated site plans and tree constraint maps
  • Council and private certifier submission format
  • Fast turnaround from site visit to final report

Drone & Aerial Assessment

Certain sites present access or scale constraints that make ground-level inspection alone insufficient. Our drone-assisted assessment capability allows us to capture high-resolution canopy imagery across large sites, inspect structurally compromised trees from a safe distance, and identify hazards — deadwood, crown dieback, structural lean — that may not be visible from below. Drone imagery is incorporated directly into assessment reports, providing clients with a visual record that supports management decisions and stakeholder communication.

Key uses
  • High-resolution canopy imagery on large sites
  • Safe assessment of structurally compromised trees
  • Hazard identification — deadwood, dieback, lean
  • Imagery embedded in arborist reports
  • Pre and post-works photographic comparison

Client Reporting Portal

Our clients — from government project managers to private certifiers — receive structured, professional documentation at every milestone. Reports are delivered digitally in clear PDF format, containing photographic evidence, dated findings, risk classifications and prioritised recommendations. Timestamped records mean every report is traceable to a specific site visit, arborist and date — providing the paper trail that councils, insurers and project managers increasingly require on complex projects.

Key uses
  • Professional PDF delivery at every milestone
  • Photographic evidence tied to site visit records
  • Risk-classified findings and recommendations
  • Timestamped and arborist-attributed documentation
  • Consistent format across all project types

ISO 45001 Compliance Tracking

Our ISO 45001:2018 certified work health and safety management system operates as a living digital system — not a static policy document. Hazards are recorded and rated, incidents are logged and investigated, and corrective actions are tracked through to close-out. This means our WHS obligations are always current and fully auditable. For Tier 1 contractors and government clients with strict supply chain compliance requirements, this certification and its supporting documentation is often a prerequisite for engagement.

Key uses
  • Digital hazard identification and risk rating
  • Incident logging and root cause investigation
  • Corrective action tracking through to close-out
  • Audit-ready WHS documentation at all times
  • Pre-qualification compliance for Tier 1 contracts

Field Operations Software

Purpose-built platforms for the field

Beyond safety and reporting, we rely on specialist software to manage job scheduling, route planning and field sign-off — keeping operations efficient and fully accountable.

Job Management & Scheduling

Works Management Platform

Fergus is our job management and scheduling system, used to plan, dispatch and track works across the full project lifecycle. Site-specific documentation — including Dial Before You Dig (DBYD) files and job instructions — is attached directly to each job so field staff have everything they need before arriving on site. Once works are complete, staff photograph and comment on work conducted before signing off each job digitally. These sign-offs are automatically saved as professional PDF reports, creating a clean, auditable record of every task completed.

  • Job creation, scheduling and field dispatch
  • DBYD and site documents attached to job instructions
  • Field staff photo capture and work commentary
  • Digital sign-off on job completion
  • Automatic PDF report generation per job

Route Planning & Driver Management

Route Optimisation Platform

Optimoroute is used to manage our young tree watering programmes — structuring daily driver runs across multiple sites to maximise efficiency and ensure no location is missed. The platform calculates the fastest possible route between sites and provides drivers with a structured run sheet they sign off at each stop. Timestamps and time-tracking records are generated automatically, and the platform allows drivers to log comments against individual sites — essential when issues such as vandalism, tree damage or site access problems need to be escalated to the office quickly.

  • Optimised multi-stop route calculation for watering runs
  • Driver sign-off at each site visit
  • Automatic timestamp and time-tracking records
  • Field comments for vandalism and site issues
  • Office visibility of run progress in real time
The Tree Guardian digital field reporting

Field Reporting

Real-time documentation from the field

Our arborists complete structured digital assessments on-site using SafetyCulture iAuditor — capturing photographic evidence, GPS data and structured findings the moment they're observed. No transcription delays. No lost notes. Just accurate, timestamped documentation.

Reports are generated and available to clients within hours of site completion, not days. This matters most on construction sites and development projects where programme constraints are tight and certifier submissions are time-critical.

  • Instant PDF generation with embedded photos
  • GPS-tagged observations and tree locations
  • Audit-trail timestamps on every entry
  • Direct submission format for councils and certifiers
Tree inventory and mapping

Tree Inventory & Mapping

Precision mapping for large-scale sites

For government, commercial and infrastructure clients managing significant tree populations, GPS-enabled tree inventories provide a definitive spatial record of every asset — supporting ongoing management, compliance and long-term urban forest planning.

Each tree in our inventory is assigned a unique identifier with associated condition rating, species, height, canopy spread, structural risk rating and recommended management actions — updated at each inspection cycle.

  • GPS coordinates for every assessed tree
  • Species, condition and risk classification
  • Structured data compatible with council systems
  • Scalable from single sites to precinct-wide surveys
